To get started, we’ve created a simple, step-by-step onboarding guide. This page will walk you through everything you need to do to set up your bookkeeping system efficiently—with helpful checklists and tools along the way.

Before we can tailor our bookkeeping services to your business, we need to understand where things currently stand. Please fill out the New Client Questionnaire, which takes just a few minutes to complete but gives us the insight we need to serve you better.

🟢 Step 2 : Share Your Financial Data Securely
Depending on your current accounting system, please follow the relevant instructions below to securely share your financial data with us.
🟡 QuickBooks Online Integration (QBO)
If you're already using QBO, please grant us accountant access so we can begin reviewing your data and making the necessary entries.
Click "Settings" > "Accountant Access" > "Invite Accountant" and enter our onboarding@cloudiumservice.com email.
Don’t have a QBO account yet? We’ll help you choose the right subscription and set it up from scratch.
🟡 Xero Connection
Navigate to "Settings" > "Users" > "Invite a User" with the "Accountant" role selected. And enter the onboarding@cloudiumservice.com email to establish the secure connection.

🟡 Dext (Document Management)
Dext is our go-to tool for capturing receipts, invoices, and expense documentation. You can snap photos with your phone, email digital receipts, or connect it to your accounts for automatic document capture.
Once your account is created, you'll receive a personal invite via email.

🟡 Plooto (for Accounts Payable & Receivable)
Plooto helps automate and streamline your payments and collections. If we’re managing your AP/AR, we’ll integrate this tool into your process for faster approvals, secure transactions, and complete visibility.
Alternative options: If you prefer not to use Plooto, we can explore other systems, which we can discuss during our onboarding call.
To ensure we have full visibility and can reconcile past transactions (especially if we’re doing catch-up or cleanup work), we’ll need the following:
✅ Last 6–12 months of bank and credit card statements
✅ Most recent payroll reports (T4 summaries, ROEs, remittance forms, etc.)
✅ Latest year-end financials and/or corporate tax returns
✅ Your CRA My Business and eTaxBC Account access (if relevant)
✅ Additionally, grant access to the WorkSafeBC (WSBC) account if applicable.
✅ Existing chart of accounts
✅ Link your bank account and credit card to QBO or Xero.

No problem! We’ll walk you through setting up QuickBooks Online or another appropriate software based on your business needs and budget.
I’m behind on my books. Can you still help?
Absolutely. Whether you’re one month or two years behind, our cleanup and catch-up services will get you back on track—with clear timelines and no judgment.
Do I need to use all the apps listed?
Not necessarily. These are our recommended tools, but we’ll tailor the tech stack to what works best for your workflow. We're flexible.
Can you manage my payroll too?
Yes! We offer full-service payroll or can support your existing provider. If you’re looking to switch, we’ll recommend efficient, CRA-compliant systems.
What if I don’t have access to all the documents yet?
We understand. Share what you can now, and we’ll help you request missing items from your previous bookkeeper, accountant, or bank.
